Buying printing and stationery in Bangladesh

Companies, NGOs, schools and publishers in Dhaka, Chattogram and across Bangladesh buy annual reports, catalogues, year-end calendars and diaries, exercise books, pens and posters, and importers abroad buy printed books and stationery. Choosing a printing and stationery supplier in Bangladesh means fixing paper, colour, binding and finishing in writing, because a printed job cannot be corrected after the run.

Roptan sources for you. Send print-ready files or a sample with the specification and date; we match it to verified printers and makers, put quotes on one basis of paper, colours, binding, finishing and packing, check a printed proof and the first sheets off the press, and inspect the finished run before delivery. You deal with Roptan only.

Printing and stationery we source

Book printing

Text in one or four colours on woodfree or art paper. Paperbacks are perfect bound or sewn; hardcovers are case bound, often with sewn sections that open flatter and last longer. Specify trim size, page count, paper GSM, cover board and lamination.

Catalogues and brochures

Product catalogues, brochures and annual reports, usually four colour on gloss or matt art paper. Thin ones are saddle stitched, in page counts that are multiples of four; thicker ones are perfect bound. Colour matched to your approved proof is the main quality point.

Calendars and diaries

Wall and desk calendars, often twin-loop wire bound, and dated or undated diaries with PU, cloth or printed covers. They sell against the new year, so settle artwork early, and say which dates to show, such as Bangla and Gregorian.

Notebooks and exercise books

Sold by size, leaves, ruling and paper GSM: lined, squared or plain. Exercise books are usually stapled; notebooks may be glued, sewn or spiral bound. Heavier, more opaque paper stops writing showing through but raises the price.

Pens and pencils

Ballpoint and gel pens by tip size, ink colour and writing length, plain or printed with a logo, and graphite pencils graded by hardness, such as HB or 2B. For children's markets, ask for caps made to ISO 11540.

Posters

Posters on coated paper, printed offset for long runs or digitally in large format for short runs and outdoor use on paper or vinyl. Specify size, paper or media, finish, and fade-resistant inks or lamination for sunlit walls.

How to brief a printing and stationery supplier in Bangladesh

Trim size and format
Finished size in mm, such as A4 at 210 × 297 mm or A5 at 148 × 210 mm (ISO 216), and page count. Books print in 16 or 32 page sections.
Paper and board
Paper type (woodfree, art or newsprint) and GSM, grams per square metre, for text and cover, with brightness (ISO 2470) and opacity. Name any FSC claim at the enquiry.
Files and colour
A print-ready PDF (PDF/X, ISO 15930) with fonts embedded, 3 mm bleed and images at 300 dpi at print size, in CMYK or named spot colours.
Proofing
A contract proof for colour and a blank dummy for size, paper and binding, signed before the run, then the first sheets checked against the proof on press.
Binding and finishing
Saddle stitched, perfect bound with EVA or PUR hot-melt, sewn, wire or case bound, plus lamination, spot UV, foil or embossing. PUR holds pages better than EVA in heat and cold.
Humidity and packing
Paper curls and waves as it takes up monsoon moisture. Ask for conditioned paper, shrink-wrapped bundles, cartons with a stated maximum weight and pallets off damp floors.
Children's items
For pens, pencils and colouring products aimed at children, heavy-metal tests on coatings and inks, such as EN 71-3 for the EU or the CPSIA lead limits for the US.

Standards and certificates for print and stationery

ISO 12647-2
Process control for offset printing, with colour targets and tolerances. Ask whether the printer works to it and can show colour bar readings from your sheets.
ISO 216 and ISO 2470
Paper sizes in the A and B series, and paper brightness. State size and brightness on the order, not only a paper trade name.
FSC chain of custody
Lets a printer sell work as FSC certified and use the label. Check the certificate code, that its scope covers the paper grade, and the claim on the invoice.
ISO 11540
Caps for writing instruments designed to reduce the risk of asphyxiation if swallowed. Ask for a test report on pens aimed at children.
ISO 2859-1 AQL inspection
Random sampling before shipment, checking colour against the proof, binding, trimming, page order, counts and packing at the AQL levels you set.

What moves the price of printing and stationery

  • Paper: type, GSM and paper market prices; on long runs paper is often the largest cost.
  • Colours and plates: four colour costs more than one, and each spot colour needs its own plate.
  • Run length: plates and make-ready are fixed, so unit cost falls as the run grows; digital suits short runs.
  • Binding and finishing: sewn or case binding, foil, embossing and spot UV add cost per copy.
  • Packing and freight: books and paper are heavy, so cartons, pallets and the Incoterm matter.

Lead times and delivery

Typical ranges: proofs in two to five working days; offset brochures and catalogues one to three weeks after proof approval; books three to six weeks, depending on binding; calendars, diaries and notebooks in volume four to eight weeks, with printers busiest before the new year. Imported paper, special finishes and proof changes add time. Roptan confirms the dates in the quote.

Inside Bangladesh we deliver to your office, school or warehouse in Dhaka, Chattogram or elsewhere, in shrink-wrapped bundles and labelled cartons, with the packing list, the signed proof and a VAT invoice (Mushak 6.3). Corporate calendars and diaries can be packed and labelled per branch if you send the list, and any overs or unders allowance is agreed in the quote.

Buying printing and stationery for export

For importers we quote FOB Chattogram (Chittagong), or air freight from Dhaka for proofs and urgent copies. Books ship in cartons on pallets, shrink-wrapped against sea humidity, and wooden pallets must meet ISPM 15. Documents: commercial invoice, packing list with weights, bill of lading or air waybill, certificate of origin, the seller's ERC, any FSC claim on the invoice, and a 'Printed in Bangladesh' line where your market needs origin marking. An AQL inspection checks copies against the proof.

What we check for this order

  • Trade licence and ERCCurrent, and in the name on the quote, with the ERC for export orders, so invoices and documents match the printer.
  • A sample before the bulk orderA printed proof, dummy or pre-production copy approved by you in writing, kept as the standard for inspection.
  • Material specification in writingPaper type, GSM, board and binding as quoted, checked on delivered copies, since lighter paper is the easiest substitution.
  • A delivery schedule agreedDates for proofs, printing, binding and dispatch in the quote, not after it, since dated calendars and diaries cannot ship late.

Questions buyers ask

What files do printers need?

A print-ready PDF, ideally PDF/X, with fonts embedded, 3 mm bleed, crop marks and images at 300 dpi at printed size, in CMYK unless spot colours are named. Send the cover as a separate file, with the spine width worked out from the page count and paper.

Should a book be perfect bound, sewn or case bound?

Perfect binding glues the pages at the spine and suits paperbacks and catalogues. Section sewing lets a book open flatter and last longer. Case binding adds hard covers for reference books and gift editions. Saddle stitching suits thin brochures, in multiples of four pages.

What GSM should we choose?

GSM is the weight of paper in grams per square metre. Office paper is usually 70 to 80 GSM, book pages often 60 to 100, and covers 200 or more. Heavier paper feels better and hides show-through, but costs more and adds freight weight.

How are colours checked before the run?

Against a printed proof you approve, then at a press check on the first sheets. Ask the printer to work to ISO 12647-2 and measure the colour bar. For brand colours, name a spot colour and send a physical swatch, since screens show colour differently from print.

What is the minimum print run?

Digital printing makes runs of tens or hundreds of copies practical. Offset usually costs less per copy from several hundred copies upward, since plates and set-up are spread over the run. Printed pens and notebooks often start at a few thousand pieces. Roptan confirms the minimum in the quote.

How soon will I hear back about printing and stationery?

Within 48 hours of a complete requirement, with a price and a delivery date. A requirement is complete when it has the quantity, where it is needed and by when.

Who do I deal with?

With Roptan, when Roptan manages the order: we buy from the verified seller and deliver to you. With the supplier directly, when you post on the requirement board and choose a quote yourself.
