Copiers and multifunction printers that copy, print and scan. Specify A4 or A3, mono or colour, pages per minute, monthly volume, duplex, network scanning and finishing. Ask whether a machine is new or refurbished, and for its page count.

Paper shredders

Personal, office and departmental shredders. Choose by security level, P-1 to P-7 as set out in DIN 66399 and now ISO/IEC 21964, then by sheets per pass, bin size and running time. Confidential customer and financial papers usually call for P-4 or finer.

Money counting machines

Note counters and value counters with UV, magnetic and infrared detection, and checks for half, chained and double notes. State the counting speed you need in notes a minute, with detection switched on. Detection should be shown working on old and new Bangladesh notes.

Laminating machines

Pouch laminators for documents and ID cards, and roll laminators, heated or cold, for volume and large sheets. Office pouch machines usually take films of 80 to 250 micrometres, so check the thickest film you will use.

Cash registers and POS terminals

Cash registers, POS terminals, receipt printers, cash drawers and customer displays. Shops in categories covered by NBR's electronic fiscal device rule should confirm with NBR which device they need before buying a private register or POS for billing.

OMR and document scanners

OMR scanners read pencil or ink marks on pre-printed forms with registration marks, usually on 105 to 120 gsm paper. Document scanners digitise files in batches. Specify sheets per day, form design, feeder capacity and software.

How to specify office equipment

Monthly volume and duty
State pages, notes, sheets or pouches per day and per month. Machines run beyond their rated volume jam, wear and fail early.
Paper size and media
A4 is 210 by 297 mm and A3 is 297 by 420 mm under ISO 216. Say which you need, plus envelopes, labels, card or heavy paper.
Security and detection
For shredders, state the P level from DIN 66399 or ISO/IEC 21964. For money counters, list the checks needed: UV, magnetic, infrared, double and chained notes, and mixed denominations.
Power and backup
Load shedding reached Dhaka in 2026, with outages of 10 to 12 hours a day reported in some districts. Cash registers and POS terminals need battery backup so sales records are not lost.
Humidity and paper storage
Monsoon humidity often runs above 90 percent. Damp paper curls and jams copiers and OMR scanners, so keep paper and forms sealed and dry.
Software and network
Copiers need drivers and scan-to-email or folder set-up; POS needs stock and billing software; OMR needs form design and result export to your system.

Rules, standards and paperwork

NBR electronic fiscal devices
NBR has required VAT machines in listed shop types for more than a decade, and launched the electronic fiscal device (EFD), with sales data controllers for POS systems, on 25 August 2020 for 24 types of retail and wholesale outlet.
EFD installation
Since August 2023 an NBR-appointed contractor installs and maintains EFDs in covered shops, and the roll-out is being extended sector by sector, as with jewellery shops in 2025. Ask NBR what, if anything, the shop pays.
DIN 66399 and ISO/IEC 21964
Security levels P-1 to P-7 for shredded paper, from particles up to 2,000 mm² at P-1 to 5 mm² at P-7, with P-4 at 160 mm². DIN 66399-2 has been replaced by ISO/IEC 21964-2, and shredders still carry the P levels.

Paper sizes used by copiers and scanners: A4 is 210 by 297 mm and A3 is 297 by 420 mm.

What moves the price of office equipment

  • Speed and duty: pages or notes per minute, sheets per pass, and the monthly volume a machine is built for.
  • Colour, A3 and finishing: colour copying, A3 paper and staple or booklet finishers add cost.
  • Detection features: money counters with UV, magnetic and infrared detection and value counting cost more than simple counters.
  • Security level: shredders at P-4 and finer cut smaller particles and cost more for the same sheet capacity.
  • New or refurbished: refurbished copiers cost less and usually carry shorter warranties; check the page count.
  • Running cost: toner, drums, films, ribbons and service can outweigh the purchase price, so compare cost per page.

Questions buyers ask

Which shredder security level do we need?

Match the level to the papers. For confidential customer, staff or financial papers, P-4 or finer is the level usually named, cutting particles of 160 mm² or less. P-5 to P-7 suit highly sensitive material, with P-7 at 5 mm². Lower levels cut larger pieces. Higher levels shred fewer sheets per pass, so size the machine for your volume.

Will a money counter detect fakes among the new notes?

Only if it has been set up for them. Bangladesh Bank began issuing a redesigned note series in 2025 and older notes remain valid, so both circulate together. Ask the seller to demonstrate counting and detection with genuine old and new notes of each denomination, and to explain how updates are loaded as further new notes appear.

Can we use our own cash register to meet NBR rules?

Not without checking first. NBR requires electronic fiscal devices, or POS systems linked to its sales data controller, in covered shop categories, and since August 2023 an NBR-appointed contractor installs and maintains EFDs. Ask NBR or your VAT office which device your shop needs and what it costs before buying a register or POS for billing.

Should we buy a new or refurbished photocopier?

New machines carry the full maker's warranty and current parts. Refurbished copiers cost less and are often offered, but ask for the page count, the parts replaced, the warranty in writing and where the machine came from. Compare cost per page, including toner, drums and service, not only the purchase price.

What paper do OMR exam sheets need?

Dedicated OMR scanners read marks by how little light they reflect, on forms printed with registration marks, usually on 105 to 120 gsm paper. Thin or damp paper jams and misreads, so print forms on the paper the scanner seller specifies and store them dry. Test a batch of filled sheets before the exam.

How soon will I hear back about office equipment?
